How We Use Your Personal Information
Pickering and Ferens Homes (PFH) needs some personal information about you so we can look at your housing application and, if you move into one of our homes, support you while you live there. This guide explains what we collect, why we collect it, and how we keep it safe.
1. Who we are
We are Pickering and Ferens Homes, a charity and housing association based in Hull.
We promise to look after your personal information properly and follow the law.
2. What information we collect
When you apply for a home, or live in one of our properties, we may ask for things like:
- Your name, address and contact details
- Your date of birth
- Your income and financial information
- Your health information (if relevant to your housing needs)
- Any past criminal convictions
- Equality and Diversity information
- Any other information required to prove you have the legal “Right to Rent”
We may also receive information about you from other organisations, such as the Disclosure and Barring Service (DBS).
3. Why we need your information
We use your information to:
During your application
- Decide if you’re eligible for a PFH property
- Check your needs so we can find the right home for you
- Carry out any required legal checks
If you do not provide certain information, we may not be able to process your application.
After you move in
If you become a PFH resident, we use your information to:
- Take rent payments
- Send rent statements or contact you about arrears
- Help with repairs and maintenance
- Support you with services you may need
- Keep everyone safe and deal with issues such as complaints or antisocial behaviour
- Make sure your home continues to meet your needs (for example, if your health changes)
We may also use information for things like surveys, audits, or improving our services.
4. When we may contact you
We may send you extra information about:
- Events
- Community activities
- Newsletters
You can stop these at any time by contacting us.
5. Who we share your information with
We may share your information with:
- Contractors who need it to carry out repairs or services
- Organisations who help us send our newsletter
- Support services (with your permission where required)
- Emergency services, if needed to protect you or someone else
- Government bodies when the law requires it
- Utility companies (for example, if you move out)
We never sell your information.

- Ask to see the information we hold about you
- Ask us to correct anything that’s wrong
- Ask us to delete information (in some cases)
- Ask us to stop or limit how we use your information
